Privacy Policy & Data Protection
This Privacy Policy explains how Doctranslate.io (“we”, “us”), as the controller of your personal information, collects, uses, shares and protects your information when you visit, create an account, contact us or upload content to doctranslate.io.
PERSONAL INFORMATION WE COLLECT
We collect the following categories of information. (1) Identity and account data: your name, email address, login details, and plan and credit information when you register or contact us. (2) Payment data: billing details and transaction records. Card and wallet payments are handled by our payment providers, and we do not store full card numbers. (3) Content data: the documents, text, images, audio and video you upload, and the results we produce from them, including any personal information they contain. (4) Technical data: your IP address and the approximate location derived from it, browser type, operating system, time zone, device and app identifiers, and cookies. (5) Usage data: the pages and features you use, the search terms you enter on the Site, the website that referred you, and how you interact with the Site. Technical and usage data are collected automatically, including in our server logs.
HOW DO WE USE YOUR PERSONAL INFORMATION
We use identity and account data to create and manage your account, credits and payments, and to reply to your requests and feedback. We use content data only to provide the service you request (for example translating, converting, transcribing or summarizing your files) and to return the results to you. We use payment data to process payments, prevent fraud and keep the accounting records required by law. We use technical and usage data to keep the service secure, diagnose problems, and measure and improve the performance and features of our services and our marketing. We do not sell your personal information, and we do not use the content of your documents for advertising.
Use of Personal Information
PROCESSING OF DATA AND CONSENT
We process your personal information only for the purposes listed in the table above. Where we rely on your consent, for example for non-essential cookies, you can withdraw it at any time. Withdrawing consent does not affect processing that took place before you withdrew it.
SUPPORT AND SERVICE PROVIDERS
Our platform is automated. Support is provided through the FAQs and through replies to messages sent to support@doctranslate.io or through the contact form. Doctranslate.io mainly uses its own technologies and may also use open-source software. To deliver our services, we share personal information with the following categories of recipients: cloud hosting and storage providers; AI processing providers that process your content to produce translations, transcriptions and other results; payment providers; and email and analytics providers. These recipients may use your information only to provide services to us and are bound by confidentiality and security obligations.
USE OF APPLICATION LOGS
Our servers automatically record technical and usage data (“log data”) when you use the Site, as described in “Personal information we collect”. We use log data only to keep the service secure, investigate errors and abuse, and improve performance.
CONFIDENTIALITY / SECURITY
We use security policies, rules and technical measures to protect the personal information under our control against unauthorized access, improper use or disclosure, unauthorized modification, unlawful destruction and accidental loss. Our employees and service providers who have access to personal information are required to keep it confidential. We disclose personal information to public authorities only when we are required to do so by law, regulation or valid legal process, as described below.
DATA ACCESS & DELETION
You can view and download the files in your account at any time and delete them from your history. To access, correct or delete any other personal information we hold about you, or to delete your account, email support@doctranslate.io from the email address registered to your account. We will reply within 30 days.
Cookies we use and why:
Necessary
Necessary cookies make the website usable by enabling basic functions such as page navigation, signing in and access to secure areas of the website. The website cannot function properly without these cookies.
Preferences
Preference cookies let the website remember choices that change how it behaves or looks, such as your preferred language or the region you are in.
Statistics
Statistics cookies help us understand how visitors use the website by collecting and reporting information in aggregated form.
Marketing
Marketing cookies help us measure whether our advertising on other platforms, such as search engines and social networks, brings visitors to Doctranslate.io, and help those platforms avoid showing you irrelevant ads. Doctranslate.io does not show third-party ads on its own pages.
We may also disclose your personal information when we are legally required to do so, for example to comply with applicable laws, a court order, a subpoena or a search warrant, or when disclosure is necessary to protect our rights, our users or the public.
DO NOT TRACK
Please note that we do not change our Site's data collection and use practices when we receive a Do Not Track signal from your browser.
YOUR RIGHTS
Depending on where you live, you may have the right to access, correct, update, delete or export your personal information, to object to or restrict certain processing, and to withdraw your consent. Residents of the European Economic Area and the United Kingdom have these rights under the GDPR. To exercise any of these rights, contact us at support@doctranslate.io. You also have the right to lodge a complaint with your local data protection authority. Your information may be transferred to and processed in countries other than your own, including in Asia and the United States.
DATA RETENTION
Uploaded documents and the files we produce from them are deleted automatically after 7 days on the free plan. On paid plans, you can choose a retention period of 7, 30, 90 or 365 days. You can delete your files earlier from your history at any time. Account data is kept while your account is active and is deleted when you ask us to delete your account, except for information we must keep by law. Payment and invoice records are kept for the period required by accounting and tax law. Contact form messages and log data are kept only as long as needed to answer you and to keep the service secure.
CHANGES
We may update this Privacy Policy to reflect changes to our practices or for operational, legal or regulatory reasons. The updated policy applies from the date it is published on this page. If we make material changes, we will notify registered users by email or in the app before the changes take effect.
Private Hosting / On-Premises Deployment
Scope & Applicability
This section applies to customers who use our software on privately hosted or on-premises infrastructure instead of our cloud platform.
Data Processing & Transfer
In a private or on-premises deployment, your documents, content and user data (“customer data”) are processed and stored only in your environment. We do not receive or store customer data on our systems unless you explicitly agree, for example by sending us files for support. Separately, if you choose to enable telemetry, we receive limited diagnostic data, such as software version, error logs and feature usage, which does not include the content of your documents. Telemetry is off unless you enable it, and you can disable it at any time.
Customer Responsibilities
- Security of the hosting environment (OS patches, firewalls, network security)
- Secure configuration of TLS certificates, ports and domain settings
- Physical security and backups of servers and databases
- Compliance with data protection laws such as the GDPR and CCPA
Support & Updates
For private deployments, we may provide updates, patches or support materials, but you are responsible for applying them. If we deliver files or credentials, you are responsible for transferring and storing them securely.
Data Return & Deletion After Termination
When the contract ends, the customer data in your environment stays under your control, and you are responsible for securely erasing it. Because we do not hold customer data, there is no customer data for us to return. If you ask within 30 days of termination, we will provide the configuration files and diagnostic logs we hold for your deployment. After that, we securely delete all diagnostic data and support files we hold about your deployment, including copies in backups, within 60 days.
Liability & Indemnity
We are not liable for any security breach, compliance failure or data loss caused by misconfiguration, by your hosting provider or by vulnerabilities in your private environment. You agree to indemnify us against claims directly caused by your hosting setup.
Telemetry & Optional Diagnostics
Optional telemetry (for example health checks and feature usage) can be enabled to help us support you. We document what is collected, it never includes the content of your documents, and it is encrypted and stored according to our standard security policy.
